1. Who We Are

HIRAM AI is a warranty administration platform operated by HIRAM AI LLC ("HIRAM," "we," "us"). Residential home builders use the platform to administer the limited warranties they provide to their homebuyers. Warranty Shield LLC provides inspection and certification services through the platform.

Important: HIRAM AI is not the warrantor. Your home's limited warranty is provided by your builder. HIRAM AI administers the claim, work assignment, and documentation process on the builder's behalf.

2. Who Uses the Platform

Homeowners whose homes are covered by a builder's limited warranty
Builders who enroll homes and administer warranty obligations
Subcontractors and trade partners assigned to perform warranty work
Home inspectors who perform certification and quality inspections

3. Information We Collect

Account and contact information

Name, email address, mobile and business phone numbers, company name, trade category, license and certification numbers, and role.

Property information

Property address, home enrollment details, closing and warranty dates, floor plans and construction drawings, and per-trade subcontractor assignments.

Warranty and claim information

Claim descriptions, categories, dates, coverage determinations, construction standard references, repair remedies, work orders, appointment scheduling, and completion records.

Photos, video, and documents

Images and short video of reported defects, before-and-after repair documentation, room-by-room inspection photos, and warranty documents you upload.

Signatures and acknowledgments

Electronic signatures on completion sign-offs, certifications, and acknowledgments, together with the timestamp of signing.

Communications and consent records

Messages sent through the platform, and records of the emails, text messages, and calls we send you, including delivery status. When you consent to receive text messages, we retain the phone number, the timestamp, and the version of the disclosure you agreed to.

Device and usage information

Device type, operating system, app version, IP address, log data, and how you interact with the platform.

We do not knowingly collect information from anyone under 18.

4. How We Use Information

To administer warranty claims from submission through completion
To evaluate claims against the applicable construction standards
To dispatch work assignments to the correct trade partner and schedule appointments
To document work with photographs and dual signatures
To issue and track certifications and continuing-education requirements
To send service and transactional notifications by in-app message, email, and text
To maintain an audit trail of warranty determinations and completions
To secure the platform, prevent fraud and abuse, and troubleshoot problems
To comply with legal obligations, including applicable construction and consumer warranty law

5. Automated Processing and Artificial Intelligence

HIRAM AI uses automated systems and artificial intelligence to assist with warranty administration. This includes analyzing claim descriptions and photographs to classify an issue, matching a claim to the applicable construction standard, suggesting the appropriate trade assignment, and generating draft communications.

Human review governs outcomes. Coverage determinations are reviewed and approved by the builder's Review Board. Automated output is a decision-support tool, not the final decision.

To provide these features, claim text and images may be transmitted to third-party AI processing providers under contract. These providers are not permitted to use your information to train their own models for unrelated purposes.

6. How Information Is Shared

Your information is visible to the parties who need it to perform the warranty work:

Your builder receives claims, determinations, and completion records for homes they warrant.
The assigned subcontractor receives the work assignment, relevant claim details, the property address, appointment scheduling, and the photographs needed to perform the repair.
Inspectors receive inspection assignments and property information for homes they inspect.
Warranty Shield LLC receives certification and inspection records.

Service providers. We use vetted vendors to operate the platform, including cloud hosting and database services, email delivery, text messaging, voice synthesis, and AI processing. They may process your information only to provide services to us.

Legal. We may disclose information when required by law, subpoena, or court order, or to protect rights, safety, or property.

We do not sell your personal information. We do not share your phone number with third parties for their own marketing, and mobile opt-in consent is never sold or shared with third parties for marketing purposes.

7. Text Messaging (SMS)

If you consent, HIRAM AI sends service and transactional text messages about warranty claims, work orders, appointments, inspections, maintenance reminders, certifications, and account notices.

Consent is given by checking a box, unchecked by default, next to your phone number during enrollment or onboarding.
Consent is not a condition of purchase or of warranty coverage.
Message frequency varies. Message and data rates may apply.
Reply STOP to opt out at any time, or HELP for assistance.
Opting out of text messages does not affect your warranty rights; we will continue to reach you by email and in-app notification.

We retain records of consent and opt-out as required by applicable telecommunications regulations.

8. Data Retention

We retain warranty records, determinations, signatures, and completion documentation for the duration of the applicable warranty period, and afterward for as long as needed to resolve disputes, defend claims, and satisfy legal and recordkeeping obligations. Consent records are retained for at least the period required by applicable messaging regulations. You may request deletion of information we are not required to retain.

9. Security

We protect information using access controls that limit each user to the records associated with their role and their properties, encryption of data in transit, restricted administrative access, and audit logging of warranty determinations and completions. No system is perfectly secure, and we cannot guarantee absolute security.

10. Your Choices and Rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion subject to our retention obligations, and opt out of non-essential communications.

To exercise these rights, contact [email protected]. We may need to verify your identity before acting on a request. You can opt out of text messages at any time by replying STOP, and manage email and in-app notification preferences in your account settings.

11. Changes to This Policy

We may update this Privacy Policy. When we do, we will revise the "Last updated" date above, and for material changes we will provide notice through the platform.
